About the role

We are seeking a motivated and highly qualified Office Manager who thrives in a fast paced and collaboration environment. This multi-faceted position is based at GRL’s new world headquarters in the heart of Silicon Valley, and offers excellent professional growth opportunities for the right candidate. This position reports to the GM of North America and works closely with the COO, CFO and other executives on North America and global matters. Responsibilities:

  • Greet customers and accept shipments
  • Assist with the coordination of marketing, company events and seminars
  • Process payroll for up to 17 employees
  • HR Human Resources experience (H1B, Visa and Immigration related processes)
  • Bill and Ship cost management (light data entry)
  • Invoicing, accounts payable/receivable
  • Facilities maintenance
  • Assist with logging in purchased, borrowed, and customer equipment
  • Assist with purchasing office and lab supplies
  • Purchase order management
  • Domestic and international equipment shipments via Fed Ex and DHL
  • Setup and maintain record keeping and filing system
  • Pick up/drop off materials, prints, shipments or any operations related items
  • On/Off boarding employees, overseeing enrollment of benefits, 401K, and other company offered benefits
  • Other administrative tasks as assigned

Knowledge & Experience:

  • Looking to hire for this position A.S.A.P.
  • 3 - 5 years similar experience in a fast-paced environment as an office manager, admin or similar support for a medium office/team (Global company)
  • High energy level, self-motivated, highly resourceful team-player, with the ability to also be extremely effective independently
  • Superior organization and prioritization skills
  • PC experience
  • Proficient in Windows based applications, and Microsoft Office software products (Office 365) as well as Google Docs and Google Apps
  • Experience in International shipping preferred
  • HR or payroll experience
  • Experience working for a start-up or small company a plus
  • All applicants must be a least 18 years of age
  • Must have proof of eligibility to work in the U.S.
  • College degree preferred
